As a physician-owned clinic, we understand medical billing and insurance can be confusing. We are a private business, without government taxes or grant dollars to keep our doors open, or to pay for medical technology. We do our best to operate efficiently and to work with insurance companies so that you may also get the benefit of your health insurance benefits. We know, that is NOT EASY! To help us in this effort, please ensure your insurance information is up to date at each visit and that Rapid City Medical Center is “in network” as a participating provider before scheduling.
For your convenience, RCMC provides you with easy access to pay your bills online, on the phone or by mail. Payments are due upon receipt.
Nonpayment of your account could result in your balance being sent to a collection agency. These cases require $150 towards your collections balance before you can schedule again with a provider. Thank you, for your attention to billing matters, which is tedious and time-consuming, but in being mindful of these tasks, we can offer you competitive pricing, which can sometimes be up to two-thirds less expensive than if received in a hospital-setting!
No Surprises Act
Centers for Medicare & Medicaid (CMS) has instituted regulations to protect patients from surprise medical bills. Click here for additional information.
More details on the No Surprises Act can be found at https://www.cms.gov/nosurprises. The No Surprises Act protects patients with insurance through an employer, individual health plan or Health Insurance Marketplace from balance billing for designated services. Patients with no insurance will be provided with a good faith estimate for pre-scheduled appointments.
Good Faith Estimates
Rapid City Medical Center works with most major insurance plans, including those with high deductibles. To ensure less financial stress, we have staff available to help answer your questions and to attempt to work with your insurance company to get answers on your insurance out-of-pocket costs.
Under the No Surprises Act, health care providers are required to give patients who do not have insurance, or who are not using insurance, with an estimate how much it will cost for non-emergency medical items and services. Our Patient Financial Counselor will provide you with an estimate of your costs.

Below we have listed some facts regarding the Good Faith Estimate process.
- A deposit of $120.00 is needed for you to schedule.
- Charges quoted on the Good Faith Estimate must be paid in full prior to receiving services.
- Some service(s) may be subject to a 15% discount.
Uninsured?
Don’t have insurance? It is still possible to receive quality healthcare to ensure healthy living. Rapid City Medical Center will provide uninsured patients with a Good Faith Estimate before services are performed. This Good Faith Estimate shows the costs of items and services that are reasonably expected for your health care episode of treatment. The estimate is based on the information given at the time the estimate was created.

Preventive vs. Problem Visits
What’s the difference? What’s covered by insurance?
Rapid City Medical Center follows standard healthcare billing practices and insurance rules for the type of care you receive.
Preventive/Wellness Visit
Preventive/wellness visit includes:
- Conducting an exam based on your age and gender.
- Providing advice about staying healthy and healthy living choices.
- Identifying risk factors and scheduling screening tests based on age, gender or lifestyle.
- Keeping your immunizations up to date based on your age and gender. You may incur a cost if an immunization is administered.
Annual preventive/wellness visits are covered by many health insurance plans POTENTIALLY with no out-of-pocket costs to you.
Problem Visit
Standard office visit for a problem includes:
- Discussion of any new health problem, illness or injury.
- Management of chronic, ongoing health problems and/or medications.
Health insurance treats each of these visits as a single office visit with varying coverage. Your insurance provider may pass some or all of the cost on to you.
Combine Your Visits
If you’re here for a preventive visit and you’d like to discuss concerns not covered under preventive services, you have the option to do so. Please be aware that separate charges WILL apply.
If you are here to discuss a problem, your provider could offer preventive/wellness visit services to avoid scheduling an additional appointment to receive those services.
Federal law requires us to bill services for preventive care and problem visits separately.
Insurance coverage for combined visits is dependent on individual policy, but typically resembles guidelines under separate visits listed.

We will submit your bill to your insurance. It is likely that you will have some out-of-pocket expense.
Call your insurance representative before your appointment and ask specific questions:
- Is a preventive/wellness visit covered under my policy?
- What screenings are covered (ie: labs, imaging)?
- What vaccines are covered?
Medical Records
Rapid City Medical Center is pleased to have knowledgeable staff to help answer all your record request questions. You have the right to view and request a copy of your medical record, and it is our duty to provide education in obtaining this information.
Requesting Your Records
RCMC can send records through a variety of methods including secure email and portal, mail, and fax. You choose what method is easiest for you.
Release of Information
To aid in the protection of your health information we ask you to sign a release of information, directing us where to send records and how you want to receive them. This one-page form can be filled out quickly and easily.

- Pick up and/or return to any of our locations
- Complete online
- Complete online or download to print paper form by the following link.
Patient Portal
We encourage you to use Rapid City Medical Center’s secure patient portal to review and print out your medical records. When utilizing this method you do not need to fill out a release of information.
Tips for accessing your portal:
- Click the above button
- Select View your health record
- Select Using Mobile Phone as your login option
- Enter the first and last name of the patient followed by their date of birth.
- Verify the last four of your cell number (this is the number on the account)
- Review the options for Medical Records in the left hand column
Privacy Policy
Purpose
To comply with the Administrative Simplification Act component of HIPAA Privacy, to secure and maintain the confidentiality of Protected Health Information (PHI), maintain sensitive organizational information at Rapid City Medical Center and prevent and detect inappropriate and illegal uses and disclosures.
Policy
Rapid City Medical Center shall be responsible for implementation of the administrative requirements under the federal privacy rule.
Rapid City Medical Center will designate a privacy official to be responsible for the development and implementation of the policies and procedures of Rapid City Medical Center… [45 CFR 164.530(a)(1)(i)].

There is no charge for patient-initiated record requests or the sharing of records for continued care.
The estates representative or Power of Attorney on file may request.
HIPAA Privacy Rule indicates providers have 30 days to deliver records from the date of your request. However, Rapid City Medical Center strives to complete record request in a timely manner. Please allow a minimum of 3-5 days for processing.
